1. Requirements and Occurrences

1.1. Air Conditioning: In certain vehicles, the removal of the engine may cause a loss of pressure in the air conditioning unit, requiring a re-gas. This service is available at an additional cost.

1.2. Audio Units: Ensure that any necessary codes for the audio system, which may be reset during engine work due to battery disconnection, are stored.

1.3. Car Alarm System: Please provide both the manual switch-off key and any remote control devices for the car alarm system.

1.4. Engine Management Faults: Some vehicles require fault code management and engine memory reset using diagnostic equipment. This service is available at an additional cost.

1.5. Engine Numbers: By law, the original engine number must be clearly visible on the engine block. If the engine number is altered, obscured, or deleted, we reserve the right to stop work. Any such incidents will be reported to the police. If the engine requires further investigation by the police, we may retain the vehicle or engine at our discretion. The customer will remain liable for any fees for work carried out up until the point of detection.

1.6. Interior Condition: Vehicles must be clean and free of mould when sent to our workshop. A mandatory cleaning charge of £50.00 + VAT will apply for any vehicle found with mould.

1.7. Vehicle Modifications: Vehicles must be free of modifications, including re-maps or performance enhancements, that could stress the engine after rebuilding.

1.8. Modification Removal: Any modifications found during the rebuild process must be removed at the customer’s expense in order to retain warranty coverage on the engine work.

2. Personal Belongings

2.1. It is the customer’s responsibility to remove all personal belongings from the vehicle before it is provided to us. The company is not liable for any loss or damage to personal items during the time the vehicle is in our possession.

3. Estimates

3.1 Following your enquiry, we will provide an initial estimate for replacing or reconditioning your engine. This estimate includes the cylinder block, cylinder head(s), sump, and internal engine components. The condition of these components can only be determined upon inspection, so all estimates are preliminary.

3.2 Our estimates are based on information provided by the customer regarding any faults. However, additional parts may be necessary during the reconditioning process, which may increase the initial estimate. We will notify the customer of any changes to the estimate.

3.3 Time estimates are subject to change based on the condition of the existing engine components, which cannot be fully assessed until inspection.

4. Deposits

4.1 A deposit is required once the vehicle is booked in and collected for engine removal, dismantling, and assessment. This deposit covers recovery charges and the rate set by AutoData. It is non-refundable and applies if work is terminated after the vehicle has been collected.

4.1.2 The deposit must be paid within three days of request, or the vehicle will be placed in storage.

4.1.3 After the engine report is provided, the customer has three days to decide. If no decision is made or communicated in writing within this period, storage charges of £50.00 + VAT per day will apply.

4.2 Recovery payments must be made in advance to secure a recovery slot.

4.3 Recovery or pallet payment deposits are non-refundable.

4.4 Waiting time for recovery drivers will be charged at £50.00 + VAT per hour on a pro-rata basis.

5. Engine Replacement

5.1 When agreeing to an engine replacement from our stock, the customer’s existing engine will be exchanged for a reconditioned engine that has undergone required functionality testing.

5.2 All supplied second-hand engines come with a 3-month or 3,000-mile warranty, whichever occurs first.

6. Engine Components

6.1 Following engine removal and cleansing, we will assess the usability of components for the remanufacturing process. If any components cannot be reconditioned, the customer will be informed, and additional fees will apply.

6.2 In some cases, reconditioned components from other vehicles of the same make and model may be used, provided they are tested and fully functional.

6.3 Please note, we do not provide invoices from our suppliers to customers.

7. Ancillary Components

7.1 Ancillary components required for engine reconditioning may be sourced from existing stock, including second-hand parts. The company will ensure that these parts do not affect the quality of the rebuild.

7.2.1 A health check will be performed on the engine, and any required ancillary components will be detailed in the report. Ancillary parts are not included in the engine rebuild price and will incur an additional charge. We do not accept customer-supplied components for installation.

7.2.2 Estimates for engine reconditioning do not include additional costs for air conditioning gas, oils, filters, antifreeze, or sundries required for the rebuild and warranty.

7.2.3 Any second-hand components used in the rebuild process will not come with a warranty unless stated otherwise.

8. Component Replacement

8.1 If recommended or essential replacements are required, the customer will be notified in advance with a breakdown of costs. Proceeding with such work requires customer approval.

8.2 Upon agreement of the costs, a 50% deposit is required before work begins. If the customer decides not to proceed, the customer must pay for engine removal, dismantling, cleaning, and the assessment report before the vehicle is released.

9. Termination of Agreement

9.1 If the customer instructs us to stop work, they are obligated to pay for all work completed up to that point. Labour charges will apply at the hourly rate set by AutoData (£100.00 + VAT). Any recovery charges will be applied at £2.00 + VAT per mile, with a minimum £100.00 + VAT charge.

9.2 It is the customer’s responsibility to check that all parts are present before leaving our premises. We do not accept responsibility for parts left behind after the vehicle leaves our premises.

9.3 If work is terminated or no communication is received, the vehicle will be stored for up to three days. After this period, storage charges will apply.

10. Insurance

10.1 The customer must have valid insurance for the vehicle for the duration of its stay in our possession. In case of loss, theft, or damage, the customer must file a claim through their own insurance. The company will not accept liability.

11. Payment, Road Tests, and Delivery/Collection

11.1 Upon completion or termination of the work, the remaining balance must be paid in full.

11.2 The customer authorizes us to road test the vehicle with an insured employee.

11.3 Additional electronic diagnostics, either on-site or from external sources, will be added to the final bill.

11.4 Road tests range from 50-100 miles, with fuel charges added to the final bill.

11.5 Delivery of the vehicle or engine is available at an additional cost and must be arranged for receipt within seven days.

11.6 The company will store the vehicle for up to three days after the report stage or collection notification. After this period, storage fees will apply.

11.7 After 30 days, the company may sell or scrap the vehicle to cover costs or outstanding balances.

11.8 When sending only the engine, ensure that all ancillary components are removed and that the engine is free of oil.

11.9 Supplier invoices are not provided to customers.

12. Storage

12.1 Failure to comply with delivery/collection or payment agreements will result in storage charges of £30.00 + VAT per day for on-site storage and £50.00 + VAT per day for secure impound storage. Correspondence charges will apply at £45.00 + VAT per item. After 90 days, the company may dispose of the vehicle under the Torts (Interference of Goods) Act 1977.

12.2 A deposit is required for vehicle arrival, covering engine removal, dismantling, and assessment. If the vehicle is removed before work starts, storage charges will apply.

13. Delays

13.1 While we aim to complete work on time, delays may occur due to part availability. We will inform the customer of any such delays. The company is not liable for losses arising from delays.

13.2 The company does not provide courtesy vehicles or reimburse hire car costs during delays.

14. Liability

14.1 The company is not liable for any loss, damage, or issues regarding the vehicle, engine, or components while in our possession. The customer is responsible for ensuring valid insurance is in place.

15. Servicing

15.1 To maintain the 12-month/12,000-mile warranty (whichever comes first), the customer must have the vehicle serviced with the company. An initial running-in service is required after 500-600 miles or two months. The second service is due at 5,900-6,000 miles or six months, with subsequent services every 5,900-6,000 miles or six months.

15.2 The vehicle should not exceed 50 MPH during the initial 500-600 miles.

15.3 Service costs: Up to 1984cc: £90 + parts + VAT, 1984cc to 2498cc: £110 + parts + VAT, 2498cc and above: £135 + parts + VAT.

15.4 The vehicle should not be used for off-road or racing purposes.

16. Warranty

16.1 The engine or vehicle must be returned with original invoices for warranty claims. Removal, repair, or replacement of internal engine components by anyone other than our company will void the warranty.

16.2 The engine must not have been misused or subject to modifications, neglect, or repairs.

16.3 The company is not liable for engine faults caused by defective service parts.

16.4 Timing belts must be replaced every 20,000 miles, checked at every service.

16.5 Warranty work must be conducted within the prescribed mileage or time frame. Exceeding these limits will void the warranty.

16.6 After the vehicle has left our premises, the warranty does not cover recovery, delivery, or third-party costs.

16.7 The warranty is non-transferable if the vehicle is sold.

16.8 The warranty does not cover overheating or unfamiliar sounds unless it is determined that misuse occurred.

16.9 If any recommended components are not fitted, the warranty will not cover engine or ancillary component failures.

16.10 Warranty coverage does not reset, and repair time does not extend the warranty period.

16.11 Warranty work must be booked in advance and is subject to availability. Delays are not the company’s responsibility, nor are any third-party costs arising from delays.
